Executive Administrative Assistant

Role Description 

As an Executive Administrative Assistant at Pheronym, you will play a crucial role in supporting our executive team and ensuring the smooth operation of our office. This part-time position offers a competitive salary range of $27 to $40 per hour, depending on experience.  


  • Provide administrative support to executives, including calendar management, travel arrangements, and meeting coordination 
  • Prepare and edit correspondence, reports, and presentations 
  • Maintain confidential files and records 
  • Assist with project management tasks, such as tracking deadlines and milestones 
  • Coordinate with other team members to ensure timely completion of tasks 
  • Handle incoming calls and correspondence in a professional manner 
  • Perform general office duties, such as ordering supplies, maintaining office organization, managing invoices and expenses, and setting up vendor accounts 
  • The Executive Administrative Assistant will be responsible for calendar management, coordinating meetings and events (traveling to onsite meeting locations), document preparation for reports and presentations, managing invoices and expenses, making travel arrangements, ordering supplies, setting up vendor accounts, etc.  
  • Some experience in logistics and international and domestic shipping is desirable.  
  • The Executive Administrative Assistant will also assist with special projects as needed.  
  • Candidates within the greater Sacramento region who can travel to onsite meetings when required are preferred. 


  • Proven experience as an Executive Administrative Assistant, Senior Executive Assistant, or in other secretarial position 
  • Full comprehension of office management systems and procedures 
  • Excellent knowledge of MS Office 
  • Proficiency in English 
  • Exemplary planning and time management skills 
  • Ability to multitask and prioritize daily workload 
  • High level verbal and written communication skills 
  • Strong attention to detail 
  • Experience with project management and comfortable with working with remote teams 
  • Excellent communication and interpersonal skills 
  • Discretion and confidentiality 
  • A bachelor’s degree in business administration, science, management, or related field is desirable  
  • Knowledge of biology or experience in a research organization is a plus
